About the role
Facility360° Solutions is looking for an organized, responsible, customer-focused commercial service dispatcher and contractor coordinator.
You are the point where everything meets. Service requests come in from property managers and business owners; technicians and subcontractors go out; and in between, someone has to collect the details, pick the right person for the job, confirm the time, and keep the client informed. That is this role, from the first request through completion.
The person who does this well can hold several conversations and several active jobs in their head at once without letting any of them drop, and keeps the tone professional in every one of them. Prior exposure to the trades helps, because you’ll be translating between a property manager describing a problem and a technician who needs a work order.
What you’ll be doing
Intake and scheduling
- Receive and organize new commercial service requests
- Collect job details, photographs, addresses, access instructions, and scheduling constraints
- Assign technicians and subcontractors based on skills, location, and availability
- Schedule and confirm service appointments
- Prepare clear written work orders for field technicians
While jobs are running
- Monitor active jobs and request progress updates
- Notify clients about arrival times, delays, findings, and status
- Coordinate return visits, materials, estimates, and additional work
- Support emergency and time-sensitive repair requests
After completion
- Review technician notes, photographs, and receipts for completeness
- Maintain accurate customer, contractor, and project records
- Follow up on completed work, approvals, estimates, and outstanding payments
- Escalate technical, pricing, or customer-service issues to management
What we’re looking for
Background
- Experience in dispatching, scheduling, customer service, property maintenance, construction, or contractor coordination preferred
- Basic understanding of handyman, plumbing, electrical, painting, and general maintenance terminology preferred
Skills
- Strong written and verbal English communication
- Ability to speak professionally with commercial clients and field technicians alike
- Strong organizational and time-management skills
- Ability to run multiple jobs and conversations at the same time
- Close attention to addresses, appointment times, work scopes, and client instructions
- Comfortable with scheduling software, CRM systems, email, text, and mobile apps
- Ability to make decisions inside company procedures and escalate what needs escalating
